Eight Items That Determine Pricing
A maintenance quotation does not consist of a single line item. When preparing a quotation, we examine the following variables; the difference between two quotations is almost always hidden in one of these lines:

Refilling cost for gaseous suppression cylinders is calculated separately because it is a distinct process: cylinder removal, shipment, filling at a certified filling facility, reinstallation upon return, system activation, and document delivery. No maintenance company refills these cylinders in its own workshop; the quotation must state who is responsible for this process. Why Cannot We Give a Fixed Price Over the Phone?
A price given without seeing the inventory will be wrong in two ways. Either the company inflates the figure to stay on the safe side — you pay for work that does not exist. Or it quotes low to secure the job and structures the scope inadequately — critical systems fall outside the contract, and the difference emerges at the first fault with the phrase "that was not included." The second scenario is what we most frequently see in the field: a cheap contract on paper becomes the most expensive option by year-end with additional invoices.
What we can do over the phone is obtain the system list and approximate device count and have a rough framework discussion. A binding quotation is always issued after the survey, with written clarification of what is and is not included.
How Are Two Seemingly Similar Quotations Compared?
If there is a marked difference between two quotations, the difference is not in the figure but in the scope. Before deciding, apply the following checklist to both quotations:
- Are systems listed individually? A single-line scope like "fire system maintenance" is an invitation to dispute.
- Is the annual visit count and the work to be performed at each visit specified?
- Is the consumables list (batteries, detectors, gaskets) clearly defined as included/excluded?
- Are fault response time and after-hours call conditions stated?
- Do pump performance testing and weighing/pressure inspection of gaseous cylinders appear explicitly?
- Is the report format defined — device list, photographic non-compliance record, delivery recipient?
- Can the firm providing the quotation remedy any deficiencies it finds?
The last point is often overlooked in most facilities but is the most decisive. Type A inspection organizations cannot remedy deficiencies they find due to impartiality; you receive the report and the work remains unresolved. Contract Maintenance or Call-by-Call Service?
Call-by-call service appears inexpensive in the short term: you pay no one while the system is running. The cost logic breaks down at three points:
- A fault is more expensive than planned maintenance. At a planned visit, a worn battery is replaced; at an uncontracted facility, the same battery comes with a panel fault, an emergency call fee, and the days the system is out of service.
- An uncontracted facility goes into the queue. During busy periods, priority and guaranteed response time are given to contracted facilities.
- A record gap emerges. Fire department inspections and insurance claim files require periodic maintenance records; call-by-call service does not produce regular documentation.
Conversely, for a facility with a single small system and low risk, call-by-call service may be reasonable. An honest answer varies by facility; at the survey we show the annual totals of both models side by side, and the decision is yours.
Obligation and Frequency: We Show the Source Correctly
The obligation to perform maintenance comes from the Regulation on Fire Protection of Buildings (Articles 84 and 100). The regulation does not itself specify frequency; it delegates the period to relevant standards and system requirements. The source of frequency is standards such as ⟦0⟧ (sprinkler), TS CEN/TS 54-14 (detection), ⟦1⟧ (gaseous suppression), ⟦2⟧ and ⟦3⟧/17A (smoke exhaust), and the manufacturer's maintenance manual. The visit schedule in our quotation is based on these sources; a quotation that inflates visit numbers by claiming "the regulation mandates this frequency" is misrepresenting the source.
Free Survey — How Does the Process Work?
For facilities within Ankara, surveys are free and commit you to nothing. Our team creates an inventory at the facility: panels, loop and device counts, pump groups, cylinders, cabinets and hydrants, and any previous maintenance records if available. Deficiencies identified during the survey are reported as a separate list — these are matters of deficiencies to be remedied first, not maintenance, and are shown separately in the quotation.

Why Should You Procure This Service from a Single Firm?
